What a builder quote should include
Your business details
Trading name, address, phone, email, and company/VAT numbers if you have them. Registered scheme logos (NICEIC, Gas Safe, TrustMark) build trust here too.
A clear scope of work
What you will do, in plain English, item by item. The single biggest cause of disputes is a vague scope — itemise so the customer can see what is and isn’t included.
Itemised pricing
Labour and materials split per line, subtotal, VAT (if registered), and the total. State whether figures include VAT.
Assumptions and exclusions
“Assumes clear access to consumer unit”, “making good decorations excluded” — the lines that protect your margin when the job changes.
Provisional sums, marked clearly
Items you cannot price exactly yet (groundworks unknowns, kitchen supply) should be flagged as provisional with the basis for adjustment stated.
A stage payment schedule
Deposit, then payments tied to milestones (footings, wall plate, watertight, completion). Never let the work get materially ahead of the money.
Tips from the field
- Write exclusions as their own section — “excludes kitchen units, appliances, floor coverings” prevents the most expensive misunderstandings in domestic building work.
- Tie every stage payment to an observable milestone, not a date. Weather moves dates; milestones don’t argue.
- Flag provisional sums loudly. A customer surprised by an adjusted provisional sum becomes a bad-debt risk.
